Assistant Manager, Facilities & Administration (2-year Renewable Contract)

Location: Hong Kong

HOW YOU WILL CONTRIBUTE AND LEARN?

  • Manage office administration and facilities for the Head Office, Worldwide offices, and Visitor Centers.

  • Prepare reports and oversee departmental document filing.

  • Monitor and assess the work and services provided by contractors and outsourced staff.

  • Conduct routine inspections to maintain a safe and healthy working environment, promptly addressing any issues and coordinating with contractors for resolution.

  • Coordinate procurement processes for goods and services, including tender documentation, scope of work, price analysis, market surveys, and performance evaluation, ensuring compliance with internal policies.

  • Assist in managing fixed assets for the Head Office and Worldwide offices.

  • Support company events and activities both on and off the office premises.

  • Aid in warehouse and inventory management to optimise space utilisation.

  • Assist in budget planning and cost control.

  • Undertake additional responsibilities and assist with ad hoc tasks as delegated by supervisors.
     

WHO ARE WE LOOKING FOR?

  • Hold a university degree with at least 5 years of experience in general office administration and/or facilities management.

  • Advantageous to have experience in office renovation projects and modifications.

  • Familiarity with formal procurement and tendering processes is preferred.

  • Detail-oriented, able to multitask, and work independently. 

  • Possess excellent customer service, interpersonal, and communication skills.

  • Proficient in MS Office applications, including PowerPoint; familiarity with Adobe is an advantage.

  • Willingness to work during non-office hours, public holidays, and Sundays when necessary.

  • Candidates with less experience may be considered for the Senior Executive position.
